About the position
The U.S. Consulate Nuuk is seeking a motivated, dependable and experienced professional to serve as Management Assistant. The incumbent will provide comprehensive administrative and logistical support to the Consulate, organize and direct daily operations, and collaborate with Embassy Copenhagen on management and security matters.
This position is based in Nuuk, Greenland. The work schedule for this position is full-time, 40 hours per week.
Duties and Responsibilities
General Services (40%)
Serve as government-wide purchase cardholder in compliance with Federal Acquisition Regulation (FAR) and Department of State Acquisition Regulation (DOSAR)
Manage property operations, including ordering, stocking, distribution, and inventory of expendable and non-expendable items
Provide customs and immigration assistance for USG personnel and official travelers; expedite customs clearance and host government approvals for HHE, POV, UAB, pets, and U.S. Government equipment
Inspect and determine suitability of new leases for the housing pool; build relationships with landlords, agents, and property management companies
Plan, direct, and monitor motor vehicle use and maintenance; provide efficient and safe transportation for post personnel and official visitors
Serve as certified Smith System Safe Driving Instructor; conduct safety training programs, periodic testing, and assessments for all vehicle operators
Coordinate U.S. government travel to, from, and within Greenland, including airline tickets, hotel reservations, visa facilitation, and travel orders
Provide support to VIP visitors and delegations, including high-level personnel, Congressional delegations, and other official travelers
Serve as Assistant POSHO
Facilities Management (25%)
Coordinate with service providers on basic maintenance tasks for the Consulate facility and Principal Officer's Residence (POR)
Exercise prudent judgment in determining when maintenance tasks require outside support
Financial Management (10%)
Track Consulate representation, program, PD, and ICASS budgets
Liaise with Copenhagen Budget Analysts to ensure optimal use of budgetary resources
Human Resources (10%)
Liaise with Copenhagen HR Section on D-visas, diplomatic cards, and accreditation
Support recruitment and hiring of locally employed staff
Alert HR to changes in local labor law and advise on USDH allowances and per diem adjustments
Manage Consulate time and attendance
Assist new USDH arrivals with local bank accounts, vehicle insurance, residential internet, and other administrative tasks
Security, Health Services and Other Duties as Assigned (15%)
Coordinate with local Nuuk police and officials for VIP visitor travel route planning and implementation
Assist in security inspections of residential housing
Serve as RSO's point of contact for security-related issues in Nuuk
Liaise with Copenhagen Health Unit on routine and emergency medical issues as needed
Qualification Requirements
Experience
Two (2) years of work experience in a general administrative office setting
Education
Completion of at least two (2) years of university
Language Requirements
English: Good working knowledge; speaking, reading & writing
Danish: Good working knowledge; speaking, reading & writing
Required Skills and Abilities
Understanding of basic office management functions and proficiency in MS applications
Proficient in Microsoft applications and spreadsheet management
Excellent interpersonal and organizational skills
Ability to manage multiple responsibilities, prioritize tasks, and meet deadlines
Capable of building relationships with local contacts
Valid driver's license
