The U.S. Consulate in Nuuk is seeking eligible and qualified applicants for the position of Executive/Protocol Assistant. You will keep the Consulate's daily operations, official events and administration running smoothly. You will manage the executive office and maintain the schedule of the Principal Officer, who leads the Consulate, and advise on protocol and logistics. You will also be the first point of contact for VIP visits.
What You'll Do
Executive office: Manage the Principal Officer's schedule, meetings and travel. Gather briefing papers so the Principal Officer is ready for every meeting and event.
Administration: Keep staff time and attendance records, track office and travel budgets, and buy goods and services with a government purchase card. Arrange official travel and send and receive diplomatic mail.
Visits and logistics: Arrange hotels, transport and meeting space for official visitors. Keep updated lists of hotels, restaurants and shops in Greenland's main towns.
Events and protocol: Plan Consulate events from guest lists and invitations to the event itself. Draft and translate formal letters and event materials in English, Danish and Greenlandic. Keep the Consulate's gift registry and follow the rules on accepting gifts and invitations.
Safety and security: Coordinate visits from security and fire safety officials, run emergency drills with staff and keep the visitor log. Drive an official vehicle when needed.
Local contacts: Build relationships with local government offices, police and fire services. Manage the Consulate's general inquiry email.
Qualification Requirements
Education: High school diploma or equivalent
Experience: At least two years of professional work experience in the private or public sector
Language: Good working knowledge of English, Danish and Greenlandic (speaking, reading and writing). We may test your language skills.
Job Knowledge: Good knowledge of Greenlandic protocol, etiquette, customs and traditions. General knowledge of office procedures, office software and basic budgeting.
Skills: You have excellent organizational skills and can juggle several tasks and priorities. You have experience planning events and formal functions, and you communicate well in writing and in person. You know Microsoft Word, Outlook, Excel, PowerPoint or Publisher. You work independently, stay calm under pressure, use discretion and deal with the public tactfully and courteously.
