The U.S. Consulate in Nuuk is looking for an organized, resourceful person to keep our office running smoothly. As Management Assistant, you will handle the Consulate's administration, logistics and practical support, and you will oversee our daily management and security support. You will work closely with colleagues at the U.S. Embassy in Copenhagen and report to the Management Assistant there.
What You'll Do
Purchasing and supplies: Buy goods and services with a government purchase card while following U.S. government purchasing rules. Keep track of office supplies and equipment.
Housing and property: Inspect possible rental homes for staff and build good relationships with landlords and property managers. Arrange maintenance and repairs at the Consulate and the Principal Officer's residence.
Customs and shipping: Help U.S. staff and official visitors with customs and immigration. This includes clearing household goods, vehicles, pets and official equipment.
Vehicles and driving safety: Manage the Consulate's vehicles. Serve as a certified driving safety instructor (Smith System), training and testing everyone who drives official vehicles.
Travel and visitors: Book flights, hotels and transport for official travel to, from and within Greenland. Support high level visits, including delegations from Washington.
Budget: Track the Consulate's budgets together with the finance team in Copenhagen.
Security and safety: Serve as the local contact for the Embassy's security office. Work with Nuuk police and local officials when VIPs visit, and assist the Consulate's workplace safety officer.
Staff support: Manage time and attendance and help recruit local staff. Help newly arrived American staff set up bank accounts, insurance, internet and other essentials. Work with Copenhagen on diplomatic ID cards, visas and medical matters.
Qualification Requirements
· Education: At least two years of university studies
· Experience: At least two years of work in a general administrative office
· Language: Good working knowledge of English and Danish (speaking, reading and writing)
· Other: Valid driver’s license
